What belongs on an account dossier before a customer call
A useful pre-call briefing is short, current, and tied to a next action — not a data dump. Here is a checklist for sales and CS leaders.
The best reps do not wing customer conversations. They walk in with a dossier — a single view of what matters on this account right now.
Most CRMs store fields. A dossier answers three questions in under a minute:
- What changed since we last touched this account?
- What is at risk if we do nothing?
- What should we do next — with enough context to do it well?
The five blocks every dossier needs
1. Account snapshot
Company, segment, owner, stage, and renewal or contract timing if you track it. This is table stakes — but it must be one glance, not six tabs.
2. Live intelligence brief
News, leadership changes, funding, or market moves that affect the relationship. This should be account-scoped research, refreshed when it matters — not a generic industry report.
3. Recent activity
Emails, calls, tickets, and notes from the last 30–60 days. Reps trust dossiers that reflect real conversations, not static firmographics.
4. Risk and health signals
Stale stage, overdue follow-up, open support issues, or declining engagement. The goal is a short list of flags, not another score without a story.
5. Recommended next step
One suggested action — call, email, exec alignment, success plan review — grounded in the four blocks above. This is where AI copilots earn their keep when they read your CRM, not everyone else's.
What to leave out
- Ten-page PDF exports nobody reads before a call
- Pooled “insights” that could apply to any company in the segment
- Raw call transcripts without a summary or owner action
